Create a Mailbox Recipient Policy

When you create a mailbox recipient policy, you must define the membership of the policy and select the mailbox folders the policy will monitor, as well as the age and size limits for messages in those folders. Then you must schedule when you want Mailbox Manager to clean mailboxes affected by the policy.

Notes   Mailbox Manager can only process local mailboxes. It cannot be used on mailboxes located on other servers.

Mailbox recipient policies can only be created on Exchange 2000 Servers running Service Pack 1 (SP1) or later. Exchange 2000 Servers without SP1 will be able to view mailbox recipient policies on other servers, but they will be unable to manage them and the mailbox recipient policies will appear as e-mail address recipient policies.

To create a mailbox recipient policy:

  1. Start System Manager
    On the Start menu, point to Programs, point to Microsoft Exchange, and then click System Manager.
  2. In the console tree, double-click Recipients.
  3. Right-click Recipient Policies, point to New, and then click Recipient Policy.
  4. In New Policy, click to select the Mailbox Manager Settings check box, and then click OK.
  5. On the General tab, type a name for your mailbox recipient policy in the Name box, and then click Modify.
  6. Define search filters to specify the membership of the recipient policy.

    Note   There can be only one mailbox recipient policy applied to each user. If you have more than one policy, make sure policy membership does not overlap. If two mailbox recipient policies are applied to the same user, the priority of the policies determines which is used.

  7. Configure Mailbox Manager by choosing a mailbox processing option, selecting mailbox folders, and configuring message limits.
  8. Once policy membership and Mailbox Manager parameters have been configured, it is recommended that you apply the mailbox recipient policy.
  9. Set a schedule for Mailbox Manager.
