In order to archive instant messaging (IM) communications for your organization, you must first enable archiving at the global level. At the global level, you can enable or disable archiving for all users in the forest or on a per-user basis. You can also choose whether to archive their internal IM communications, their IM communications with external federated users, or both.
If you enable archiving on a per-user basis, you must specify the users whose messages you want to archive. Details are in the procedure later in this topic.
You may have already configured global archiving when you deployed Archiving Server.
If you enable archiving at the global level for all users in the forest, archiving settings are not configurable at the user level. If you want to archive for some users, but not all, you must configure global properties for the forest to archive according to user settings.
After you have configured archiving at the forest level, you must also configure it at the pool level. For details, see Configuring Enterprise Pools and Standard Edition Servers for Archiving.
To archive IM traffic for all users

Log on as a member of the RTCUniversalServerAdminsgroup to a server that has the Office Communications Server administrative tools and that is located in the same forest as the Archiving Server.

Open the Office Communications Server 2007 R2 snap-in: Click Start, point to Administrative Tools, and then click Office Communications Server 2007 R2.

In the console tree of the snap-in, right-click Forest, point to Properties, and then click Global Properties.

Click the Archivingtab.

Under Internal communicationsand also under Federated communications, verify that the Archive for all userscheck box is selected, and then click OK.
To archive IM traffic for selected users

Log on as a member of the RTCUniversalServerAdminsgroup to a server that has the Office Communications Server administrative tools and that is located in the same forest as the Archiving Server.

Open the Office Communications Server 2007 R2 snap-in: Click Start, point to Administrative Tools, and then click Office Communications Server 2007 R2.

In the console tree of the snap-in, right-click Forest, point to Properties, and then click Global Properties.

In the details pane, click the Archivingtab.

If you want to archive conversations for a specific user or group of users that are inside your organization's network, under Internal communications, verify that the Archive according to user settingscheck box is selected.

If you also want to archive conversations between a specific user or group of users and a federated user, under Federated communicationsverify that the Archive according to user settingscheck box is selected, and then click OK.

If your account is not also a member of the RTCUniversalUserAdminsgroup, log on to an account that is a member of that group.

In the console tree, expand the pool that homes the user or group of users whose messages you want to archive, and then click Users.

In the details pane, right-click the users whose messages you want to archive, and then click Configure Users.

On the Welcomepage of the Configure Userswizard, click Next.

On the Configure User Settingspage, do the following:
- To archive messages that are sent and received within your
network, select the
Archive internal messagescheck box, and then click
Enable.
- To archive messages that are sent from users within your
network to federated users, select the
Archive federated messagescheck box, and then click
Enable.
- To archive messages that are sent and received within your
network, select the
Archive internal messagescheck box, and then click
Enable.

When you are finished, click Next.

Click Next, click Nextagain and then click Nextagain.

On the Configure Operation Statuspage, verify that the operation succeeded, and then click Finish.
Note: Per-user settings do not affect archiving of multiparty IM conferences, which are always archived if archiving is enabled in the pool. If you do not want to archive any message content during multiparty IM conversations, disable archiving on every pool in the deployment.
