Use Full-Text Indexing
Exchange can index both public folder and mailbox stores for fast searches and lookups. With full-text indexing, every word in a store is indexed, making faster search and retrieval possible without requiring special mail clients. When indexing is enabled for a store, IMAP4 clients and MAPI clients, such as Outlook, can quickly find search terms in both message and attachment text, as well as MIME body parts.
Note By default, indexes are created from the subject and body of a message, along with names of the sender, recipient, and any names that appear in the Cc and Bcc fields.
Search results are only as accurate as the index is up to date. As the content of the stores change, the index must be updated to reflect the changes. Index updates can be performed manually or automatically by schedule.
